Managing crews in OneCrew helps keep scheduling, job assignments, and operations organized. Crews can be created, color-coded, assigned members, duplicated, edited, and archived as team needs change.
By defining crews clearly, users can assign crews to jobs, track progress, and understand who is responsible for each scheduled Project or phase.
A clean and accurate crew list supports better resource allocation, clearer schedules, and more efficient Project execution.
Permissions
You need the appropriate permissions to edit and manage crews. If you are unable to access or update crews, contact your administrator at onecrew@heartlandpavingpartners.com for help.
Access Crew Settings
To begin managing crews, open the Crew Settings area from the main Settings menu.
Step 1
Open Settings
From the main navigation menu on the left, click Settings.
Step 2
Select Crews
In the Settings sub-menu, select Crews.
Step 3
Review Existing Crews
The Crews page displays existing crews, including crew name, color, members, and last updated date.
Adding a New Crew
Adding new crews allows you to define distinct teams for different types of work, schedules, or Projects.
Step 1
Click Add Crew
On the Crews page, click the Add Crew button in the top-right corner.
Step 2
Enter Crew Name
On the New Crew page, enter a descriptive name for the crew, such as Asphalt 3.
Step 3
Select a Color
Under Color, select a color to visually distinguish the crew on schedules and reports.
Step 4
Add Members
In the Members field, select users from the dropdown list. Adding members is optional at this stage and can be completed later when editing the crew.
Step 5
Save the Crew
Click Save in the top-right corner. The new crew will appear in the crew list.
Color-coding crews provides a helpful visual cue on the schedule, making it easier to see which crew is assigned to each job.
Duplicating an Existing Crew
If multiple crews have similar setups or members, duplicating an existing crew can save time.
Step 1
Find the Crew
On the Crews page, locate the crew you want to duplicate.
Step 2
Open the Crew Menu
Click the three-dot menu icon on the far right of the crew’s row.
Step 3
Select Duplicate
Select Duplicate from the dropdown menu. A copy of the selected crew will be created and added to the list.
Step 4
Edit the Duplicate
Edit the duplicated crew right away to give it a unique name, color, or member list.
A duplicated crew may start with the same name or setup as the original. Update it immediately so it is easy to tell the crews apart.
Editing a Crew
As teams change, crews should be updated so scheduling and assignments remain accurate.
Step 1
Find the Crew
On the Crews page, find the crew you want to modify.
Step 2
Open the Crew Menu
Click the three-dot menu icon on the far right of the crew’s row.
Step 3
Select Edit
Select Edit from the dropdown menu.
Step 4
Update Crew Details
Update the crew name, color, or members as needed.
Step 5
Save Changes
Click Save once the crew information is correct.
Editable Crew Fields
Change the crew name.
Select a new color.
Add members by typing their name in the Members field and selecting from the suggestions.
Remove members by clicking the x next to an existing member.
Regularly review and update crew members to keep assignments and scheduling accurate.
Archiving a Crew
If a crew is no longer active, archive it to keep the active crew list clean and current.
Step 1
Find the Crew
On the Crews page, find the crew you want to archive.
Step 2
Open the Crew Menu
Click the three-dot menu icon on the far right of the crew’s row.
Step 3
Select Archive
Select Archive from the dropdown menu.
Step 4
Confirm Archive
When the confirmation dialog appears, click OK. The crew will be removed from the active crew list.
Only archive crews that are no longer active. Archiving removes the crew from the active crew list.
Best Practices
Use clear, descriptive crew names.
Use color-coding consistently so schedules are easier to read.
Review crew members regularly to keep assignments accurate.
Duplicate crews only when the setup is similar, then update the duplicate immediately.
Archive crews that are no longer active to keep the crew list clean.
Troubleshooting
Cannot Find the Crews Option in Settings
Ensure you have the necessary permissions to access and manage crew settings. If the option is missing, contact your system administrator.
User Is Not Appearing in the Members Dropdown
Verify that the individual has been added as a user in the system first. Only active users can be assigned to crews.
Accidentally Archived a Crew
Archiving removes a crew from the active list. If you need to recover an archived crew, check for an unarchive option or contact support for assistance.
